Cold Email Templates for Virtual Assistants — Copy, Customize, and Send

VB
VA Base Editorial Team
Updated March 2025

The cold email is the single most important skill in a VA's direct outreach toolkit.

Not because it is complicated. Because it is the moment where everything you have learned — who to target, what problem you solve, what you are offering — gets compressed into a short message that a busy business owner will read in 15 seconds.

The ACES Framework

Before the templates, a brief reminder of the structure every cold email should follow:

A
Attention
C
Connection
E
Exchange
S
Simple Ask

Template Set 1 — Home Services

Home Services Template
Subject Line Options:

- Quick question, [First Name] / - [Business Name] — inbox support

Email Body:
Hi [First Name],

I came across [Business Name] while looking at [type of business — plumbing / HVAC / roofing] companies in the [city/state] area.

Most owners I speak with in home services are so busy in the field that the inbox and scheduling end up falling behind — leads slip through and callbacks get missed.

I'm [Your Name], a virtual assistant who helps [industry] businesses manage their inbox, schedule jobs, and follow up with new leads. My rate is $[X] an hour, fully remote.

Would it be worth a quick 15-minute call to see if this could be useful for you?

Template Set 2 — Real Estate

Real Estate Template
Subject Line Options:

- Quick question, [First Name] / - [Agency Name] — client follow-up support

Email Body:
Hi [First Name],

I came across [Agency Name] while looking at real estate agents in the [city/state] market.

Most agents I speak with are juggling so many active clients that follow-up emails and appointment scheduling become a full-time job on their own.

I'm [Your Name], a virtual assistant who works with real estate agents on inbox management, appointment scheduling, and client follow-up. My rate is $[X] an hour, no contracts.

Would a quick 15-minute call make sense to see if it's a good fit?

Template Set 3 — Life Insurance Agencies

Insurance Template
Subject Line Options:

- Quick question, [First Name] / - [Agency Name] — admin support

Email Body:
Hi [First Name],

I found [Agency Name] while looking at independent insurance brokers in [state].

A lot of brokers I've spoken with are handling their own data entry, client follow-up, and calendar management on top of actually selling.

I'm [Your Name], a virtual assistant who works with insurance agencies on CRM updates, appointment scheduling, and client communication. My rate is $[X] an hour, fully remote.

Would it be worth a quick call to see if this makes sense for your agency?

Customization Rules

The templates above are starting points. Here is how to make each one more effective:

  • Always personalize the opening line. Proves this isn't a mass blast.
  • Keep the rate in the email. Removes barriers and shows transparency.
  • Match the subject line. Keep it simple and direct.
  • Send at the right time. Tuesday through Thursday mornings (US time).

What to Do When Someone Replies

When a business owner replies with interest — "tell me more" or "what exactly do you do" — do not try to close the deal in email.

Reply with one simple goal: book a 15-minute call.

"Hi [First Name], Great to hear from you. I'd love to tell you more — would you be open to a quick 15-minute call this week?"

How Many Emails to Send

A realistic baseline for beginners is a 5% response rate.

Sending 10 emails per day for 30 days (300 total) should generate approximately 15 interested responses, 5 discovery calls, and 1 to 2 new clients.
