By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with the practices described here, please do not use the Service.

VABase serves a primarily Philippines-based user base with global accessibility. We handle personal data in accordance with applicable privacy laws including the Philippines Data Privacy Act of 2012 (Republic Act 10173), and where applicable, the California Consumer Privacy Act (CCPA) and other relevant data protection frameworks.

2. Information We Collect

2.1 Information You Provide Directly

When you register for an account or subscribe to the Service, we collect:

  • Full name — used to identify your account and personalize communications.
  • Email address — used for account authentication, billing notifications, product updates, and Service-related communications.
  • Country or location — collected at registration to understand our user base and comply with applicable legal requirements.
  • Payment information — billing details including card type and last four digits. Full payment card information is processed directly by Stripe and is never stored on VABase servers. We receive only tokenized payment references from Stripe.

2.2 Information Generated Through Your Use of the Service

  • CRM and client management data — contact records, pipeline entries, client notes, and working hour logs that you create within the Service. This data belongs to you and is stored on our servers solely to provide the Service.
  • Usage data — information about how you interact with the Service, including pages visited, features used, time spent on the platform, and actions taken. This data is used to improve the Service and understand user behavior.
  • Device and technical data — IP address, browser type, operating system, and device identifiers collected automatically when you access the Service.

2.3 Information from Third Parties

Stripe — when you complete a subscription purchase, Stripe provides us with transaction confirmation, subscription status, and billing summary information necessary to manage your account.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide and maintain the Service — processing your subscription, granting access to platform features, and ensuring the Service functions correctly for your account.
  • Account management — creating and managing your account, authenticating your identity, and communicating account-related information including billing confirmations, renewal notices, and cancellation confirmations.
  • Product communications — sending you updates about new features, new course content, platform improvements, and changes to the Service. These communications are part of the Service and are sent to all active subscribers.
  • Marketing communications — with your consent or as permitted by applicable law, we may send promotional emails about VABase features, partner program opportunities, or other offerings we believe may be of interest to you. VABase does not sell your personal information to third parties. We share information only in the following limited circumstances:

4.1 Stripe

We share payment-related information with Stripe to process subscription payments and manage your billing relationship. Stripe operates as an independent data controller for payment processing purposes. We encourage you to review Stripe's Privacy Policy at stripe.com/privacy.

4.2 Analytics Providers

We may use third-party analytics tools such as Google Analytics to collect and analyze usage data. These tools may collect information such as how often you visit the Service, what pages you visit, and what other sites you visited prior to visiting VABase. We use this information only to improve the Service. Analytics providers may set cookies or use other tracking technologies. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

4.3 Email Service Providers

We use third-party email service providers to send transactional and marketing emails. These providers receive your email address and name for the purpose of delivering emails on our behalf. They are contractually prohibited from using your information for any other purpose.

  • After 90 days of inactivity following cancellation, your personal account data — including CRM records, client notes, and profile information — may be permanently deleted.
  • Billing records and transaction history are retained for a minimum of seven years to comply with financial record-keeping requirements.
  • Anonymized or aggregated data that cannot reasonably be used to identify you may be retained indefinitely for analytics and product improvement purposes.

You may request deletion of your personal data at any time by contacting us at legal@vabase.co. We will process deletion requests within 30 days subject to any legal retention obligations.

7. Data Security

VABase implements commercially reasonable technical and organizational security measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These measures include encrypted data transmission via HTTPS, access controls on internal systems, and regular security reviews.

However, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security of your data. You are responsible for maintaining the security of your account credentials and for notifying us immediately of any suspected unauthorized access.

8. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

VABase is operated from the United States. If you are accessing the Service from the Philippines or any other country outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.
